Delete or remove a system

Delete a system/asset permanently for everyone
Deleting a system permanently results in the loss of all its data.
Prerequisites
You belong to the user group administrator, operations.
The system belongs to your own organization.
Steps
Check to which partner the to-be-deleted system belongs to:
At PORTFOLIO LEVEL, go to
Administration >
Portfolio > Overview.Select
Settings and tick the checkbox for the column Partner.Back at the overview table, review the Partner column for the system. Two states are possible:
A) The partner is your own organization
This means it was set up by someone in your organization. Select
Delete system in the actions column and confirm your action.
Warning
The system/asset and all its data is now permanently deleted from all users’ portfolios it was assigned to within your own organization, or shared with outside of your organization. This action can not be undone.
B) The partner is not your own organization
You can not delete this system for everyone. You can only remove it from your portfolio. See below.
Remove a single system/asset only from your own portfolio
Removing a system retains all its data for other users.
Prerequisites
You belong to the user group administrator, operations, or technician.
The system was individually assigned to your account.
Steps
Check how the to-be-removed system was assigned to you:
At PORTFOLIO LEVEL, go to
Administration >
Users > User list.Select
Edit for your own user account.In the tab Systems and teams, check the column Teams for the respective system. Two states are possible:
A) Teams column is empty
This means the system was individually assigned to your account. To remove it, just untick the checkbox and select
Save assignment.
The system now disappears from your portfolio overview and systems list.
Caution
If you are the Super admin/Partner admin of your organization, unassigning a system that was shared with you by another partner/organization, will also remove that system from all of your own organization’s users' portfolios. To check the original partner of a system, go to
Portfolio > Overview and display the column Partner in the table. See also Portfolio overview.
B) Teams column is not empty
This means the system is in your portfolio because you belong to a certain team. All members of the team have access to all the systems that are assigned to the team.
You can not remove this individual system from your portfolio. You only have the following two options:
B1) Unassign yourself from the whole team and thus lose access to all of the team’s systems. To do so, delete the team name in the line Team assignment and select
Save assignment.B2) ADMIN AND OPERATIONS ONLY Edit the respective team and unassign the system from it. All users of the team will lose access to that system. See Teams.
