Site access in the O&M app

As a technician assigned to a work order, you no longer need to contact the O&M manager before accessing a site. Simply create your own check-in directly in the VCOM O&M app and check out manually once your work is done. Your access data is saved for future use. All your input is synced live to VCOM to keep the O&M manager informed.

Prerequisites

  • You have a VCOM user account

  • You installed the VCOM O&M app

Site access overview

Select image-20250224-152828.png Site access in the image-20250224-151030.png Side menu to view a list of all your current and previous site access entries. They are marked as follows:

  • image-20250224-153046.png Checked in: This is your current site access.

  • image-20250224-153012.png Time exceeded: This status is shown as soon as the estimated duration you entered at check-in is reached and no check-out has been performed until then.

  • image-20250224-152948.png Checked out: These are all your previous site access entries.

Check yourself in

Caution

To avoid duplicates, agree in advance with the O&M manager on who will perform the check-in. Check-ins created in VCOM are not visible in the O&M app.

Note

You can only check in to one site at a time. Check out first to check in again to a different site.

Steps

  1. There are two ways to create a check-in in the O&M app:

    • From the image-20250224-151030.png Side menu, select image-20250224-150702.png Site access > image-20250224-150805.png Check-in.

    • Navigate to the work order whose site you want to check in. Scroll to image-20250224-150702.png Site access and select image-20250224-150805.png Check in to site.

  2. The check-in page appears.

    • Fill in the required fields with the details of your check-in, such as Date, Time, Estimated duration

    • If you already created a check-in in the past, your Name, Phone, and the total Number of persons is already pre-filled.

    • If you created the site access entry directly from within a work order, the fields System and Related issue are also already pre-filled. If you created the site access entry from the side menu, you must select the System you are accessing from the dropdown. Link the site access entry with a Related issue (ticket or work order) that is assigned to you. You can only link one issue.

  3. Leave a Comment if desired.

  4. Select image-20250224-152112.png Check-in. Your access is created and has the status image-20250224-153046.png Checked-in. All your site access input is synced live with VCOM.

Check yourself out

Caution

You have to manually check yourself out, as it is not done automatically when the estimated duration is reached.

Steps

  1. From the image-20250224-151030.png Side menu, select image-20250224-150702.png Site access and find your check-in access in the list.

  2. Select image-20250224-140932.png Check-out. The check-out page appears.

  3. Select the Date and Time you are leaving the site.

  4. Tick the checkbox if Task completed is applicable.

  5. Select image-20250224-140932.png Check-out. The status of the entry will change to image-20250224-155713.png Checked out. All your input is synced live with VCOM.
